Ordinary sellers need invoices to prove whether they purchase from formal channels. Even sellers who have registered trademarks and brands need documents to prove the supply chain.
Therefore, whether you are a private label seller or a general seller, you need to keep the invoice, which can prove the authenticity of the product. This can prevent the seller's account from being frozen due to failure to provide an invoice when encountering authenticity and quality complaints.


How sellers can respond

If you encounter a complaint and Amazon asks the seller to provide an invoice, how should the seller respond? First, you need to understand how the Amazon team reviews the invoice, what information they want to obtain, and look at the problem from their perspective, so that you can make the appropriate decision.

For invoices, Amazon requires the following:

1) The company name and address information in the invoice must be consistent with the backend. The information on the invoice must be synchronized with the seller information in the backend in a timely manner.

2) Make sure the supplier information on the invoice is clear and accurate. Amazon will contact the supplier to confirm the invoice details. So be prepared for the supplier to provide as accurate contact information as possible.

Also, sellers should pay attention to whether the product quantity on the invoice is clearly visible and consistent with the product quantity sold on Amazon. The product description should be clear and the part number should be easy for Amazon to find.

3) The invoice date must be within 180 days, proving that your product was delivered or purchased within 180 days.


How Amazon Verifies Suppliers
The Amazon team may contact the supplier to verify the invoice content to ensure that there is no change or forgery. If Amazon cannot contact the supplier to confirm the content, it is easy to cause your appeal to be rejected. Therefore, sellers need to provide the correct supplier number and website.
Moreover, if the supplier fails to pass the verification, it is easy for the entire account to be blocked.

Problems faced by different business models

Dropshipping

There is usually no invoice for dropshipping. This is generally risky, although the rewards are also great. You can't guarantee the quality of the product. So if there is a complaint, this model is difficult to pass the test.

Distributors

It is best for dealers to establish a relationship with the brand and purchase goods directly from the brand, or purchase products from authorized dealers. In both cases, invoices are not a big problem.

Private Label

Private label brands are also required to provide a manufacturer’s invoice and website to prove the product’s authenticity.

Second-hand products
Second-hand products generally mean that there are product quality issues. If the seller receives a complaint about a second-hand product, you need to provide an invoice to prove that you are selling a new product. It is best if the product purchase time on the invoice is recent, so that you can prove that the product packaging is not worn or outdated.
Amazon currently cannot distinguish between false complaints and genuine complaints. Sometimes consumer complaints about product conditions are often classified as "second-hand product" issues, which can easily cause trouble for sellers.
