How to correctly issue the invoice required by Amazon?
In Europe, VAT invoices are important documents for each corporate purchaser to report corporate expenditures and operate in compliance with regulations. Whether it is a seller for individual consumers or a corporate seller, they will receive orders from corporate buyers. All sellers need to provide legal and valid VAT invoices for orders from corporate buyers.

If a corporate buyer does not receive a valid invoice in a timely manner after receiving the goods, the order can easily be returned, and the account may even generate customer complaints or negative reviews.

If the seller does not comply with the relevant policies, Amazon may take action against the seller's account. Therefore, timely understanding of Amazon's invoice policy and correctly issuing invoices are important guarantees for providing buyers with a good shopping experience and improving the store's reputation.


To ensure that buyers have a good shopping experience on the platform, Amazon is constantly working to provide consumers with better customer service. To ensure product quality, Amazon will use some restrictions to screen high-quality products for sale.

Because most sellers generally do not require suppliers to issue special VAT invoices when purchasing goods, the invoices provided at this time can only be issued according to the current date. The invoice date does not affect the result of the appeal, but it should be noted that the product name on the invoice must be consistent with the products sold in the store. At the same time, the quantity on the invoice must match your account inventory or FBA shipment volume.

Why does Amazon ask for copies of invoices or recepts from your supplier? Because "invoices" can best demonstrate the authenticity of the seller's supplier (chain) and the authenticity of the product!

1. Be authentic! Receipts are not acceptable!
It is best to have a value-added tax invoice that can be verified on the official website of the tax bureau.
Amazon will check the tax website, and what is displayed on the tax department’s website should be exactly the same as what you provided, so it is invalid to photoshop receipts and other invoices and then scan them.
If you use receipts to audit as a last resort, remember to stamp the official seals of both companies. This kind of luck is not discussed. A long time ago, some people passed, but now I have never seen one that can pass.

2. Tax points of invoices
There is no problem with this so far. 17% or 3% is fine. The key point is the previous question.

3. Purchaser’s information on the invoice
The buyer's information needs to include company name, taxpayer identification number, address, phone number, bank and account number. The company name, taxpayer identification number and address must be consistent with the company information in the backend of the Amazon account.

4. Seller information on the invoice
For real invoices, be truthful. If you find other "invoice issuers", please make sure that the seller's company name has a relatively reasonable relationship with your product category, or at least there is no obvious unreasonableness.
After all, where to purchase is your choice, but you should pay attention to rationality.
Is it a bit confusing? How can it be justified for you, an egg seller, to purchase a batch of eggs from a company that sells atomic bombs?

5. List of goods on the invoice
Many audits specify certain ASINs, so the product names on your invoices should reasonably correspond to these products. It is best to be able to see at a glance that the goods on the invoice are the ASINs assigned to you by Amazon. Do not use general product names. You can use the ASIN product title to issue invoices, and it is best to add the ASIN suffix.
The easier you make the auditor's job, the greater your chances of passing. For invoices used for classification review, the product name on the invoice must belong to the classification applied for.


6. Quantity on invoice
The quantity here should be as large as possible. If the product is shipped by FBA, the quantity should be greater than the sum of the product's sales and inventory; if the delivery method is FBM, the quantity should be greater than the product's sales. For example, if you shipped 200 units through FBA this time, but your invoice is only 10, how can it be reasonable?
And if the number is too small, it will seem that your "strength" is not good enough.
If Amazon does not specify the invoice for a specific ASIN product, please be aware that there must be at least three SKUs on one invoice, and a minimum purchase quantity of 10 for each SKU.
If it is a low-priced product, remember not to fill in too low a purchase quantity, which is also a "strength" issue...

7. Invoice issuance time
In fact, many people prepare invoices after receiving the review email. Although the invoices required are for the past 90 days or 365 days, the invoices you issue are all fresh and hot.
This is not something to be too complicated, after all, there is such a thing as "account period".
Of course, due to the time difference, it is best to wait a few days before sending the invoice for review. Otherwise, the invoice will be issued on May 2, but the reviewer will only see May 1 when he looks at his watch. How embarrassing!
In addition, the invoice issuance time should be earlier than the product listing time. If this cannot be met, the invoice needs to be marked as a reissue.

8. Invoice and other
If you have to pay the other party the tax when issuing the invoice, but feel bad about spending too much due to the large quantity, you can reduce the unit price appropriately. After all, the purchase price cannot be verified, and there seems to be nothing else.

9. I am a factory, how can I provide an invoice?
You certainly won't issue an invoice to yourself, but if the goods are made in your own factory, you at least have a purchase invoice for the raw materials. You can provide the purchase invoice for the raw materials and explain that you are the factory (manufacturer).
Finally, I want to tell you that the other party is an auditor (a living person!) who has to deal with a large number of similar cases every day. Their work is done in accordance with procedures and regulations. So if there is no "problem" with the invoice you provide, or the logic of the appeal email is reasonable, and the solution is simple and effective, it means that you can make the other party's audit work simpler and faster, then your chances of passing will naturally be very high.

Invoice Request
For accounts registered with Chinese information, the invoices that need to be provided to Amazon are special VAT invoices or general VAT invoices. The seller's VAT invoices must meet the following requirements:


(Note: If the invoice is issued on behalf of others, the supplier information must be noted in Section ⑦: supplier name, taxpayer identification number, address and telephone number, supplier bank account and account number.)

When encountering Amazon invoice review, it is best for sellers to negotiate the above information with the supplier in advance, because Amazon may call the supplier and confirm the situation with them to ensure that there are no changes or forgeries.

According to Amazon's previous requirements, Amazon can generally accept invoices within the past 365 days, but in some cases, Amazon will require invoices within the past 180 days or 90 days. Therefore, it is best for sellers to issue invoices every 3 months or half a year.

For products with good sales and fast stock, invoices can be issued multiple times in small quantities; for products with average sales, only one invoice can be issued regularly (the quantity required must cover sales and inventory).

For products that are copied and intended to become hot-selling products, it is recommended to issue invoices at the beginning of listing. Sellers are advised to provide Amazon with formal invoices and try not to issue invoices on behalf of others.
